Your RSVP Dashboard Explained: What Every Number Means

You have 40 guests invited and responses are trickling in across texts, emails, and WhatsApp messages. You are toggling between apps trying to figure out who said yes, who said maybe, and who has not responded at all. An RSVP dashboard puts every response in one place -- five status badges, a breakdown of adults versus kids, your overall response rate, and tools to filter, search, remind, and export. Every number updates in real time, so you stop being the human spreadsheet.
The Five Status Badges
At the top of your dashboard, five color-coded badges give you an instant snapshot of where things stand. Each badge shows a count and updates the moment a guest submits or changes their response.
Accepted
Guests who confirmed they are attending. This is your locked-in headcount for seating, food, and supplies.
Declined
Guests who confirmed they cannot make it. Knowing who is not coming is just as valuable as knowing who is — it prevents over-ordering and saves money.
Pending
Guests who have not responded yet. These are the people you may want to nudge with a gentle reminder as your deadline approaches.
Tentative
Guests who said "maybe." They saw the invitation and are interested but uncommitted. Plan for roughly half of tentative guests to attend and follow up with them a few days before the event.
Total
The total number of guests you invited. This badge stays fixed unless you add or remove guests, and it gives context to all other numbers — for example, "12 accepted out of 40 total."

Guest Breakdown: Adults vs. Kids
When guests RSVP, they specify how many adults and how many children are in their party. Your dashboard rolls these up into separate totals so you can plan accordingly. Why this matters for planning. A party with 20 adults and 8 kids requires different quantities of food, drinks, seating, and activities than a party with 28 adults. Kid counts affect everything from portion sizes and highchair availability to whether you need a kids' activity station or a separate menu. The adult and kid numbers are included in your CSV export, so when you hand your caterer a final count they get the full picture without you having to calculate it manually.
Response Rate Percentage
Your response rate is the percentage of invited guests who have submitted any response — accepted, declined, or tentative. It does not count pending guests. This number tells you how close you are to having a complete picture. A response rate below 50 percent with your deadline approaching is a signal to send reminders. Most events reach 80-90 percent response rates when hosts use digital RSVP links with a clear deadline and one well-timed reminder. If your rate stays low, the issue is usually distribution — try sharing the link through a different channel, such as a direct text instead of a group chat.
The Five Response Tabs
Below the summary badges, your guest list is organized into five tabs that let you view specific groups of guests:
All
Every guest on your list, regardless of their status. Use this for a full overview or when searching for a specific person.
Pending
Only guests who have not responded. This is the tab to check when deciding who needs a reminder.
Accepted
Only confirmed guests. Use this tab to build your final headcount for the venue and caterer.
Tentative
Guests who said "maybe." Review this tab a few days before the event to follow up and convert tentative responses into firm answers.
Declined
Guests who cannot make it. Useful for confirming final numbers and knowing who to update if the event details change.
Four Smart Filter Chips
Within any tab, you can apply smart filter chips to narrow your view further. These filters help you find specific groups without scrolling through your entire guest list.
Not Viewed
Shows guests who have not opened the invitation link. If someone hasn't viewed the invitation, they probably did not receive it or missed it in a busy chat. Resend the link directly to them.
No Reminder Sent
Filters for guests who have not received a reminder yet. Combine this with the Pending tab to see who still needs a nudge without accidentally double-reminding someone.
Has Dietary Needs
Shows guests who mentioned dietary restrictions in their RSVP. Use this when preparing your catering order so you can quickly see every allergy and preference in one filtered list.
Has Message
Filters for guests who left a personal note with their RSVP. Guests often use this to ask questions, mention arrival times, or share additional context you should know about.
Search Bar
The search bar at the top of your guest list lets you find any guest by name instantly. For events with 50 or more guests, scrolling through tabs is slow — typing the first few letters of a name is faster. The search works across all tabs and respects any active filter chips, so you can combine search with filters for precise results. For example, switch to the Accepted tab, apply the "Has Dietary Needs" filter, and search for a specific guest to confirm their restrictions.
Bulk Reminders
When your RSVP deadline is approaching and you still have pending guests, the bulk reminder feature lets you nudge all non-responders with a single action. Reminders are sent only to guests who have not yet submitted a response — anyone who has already accepted, declined, or marked tentative is excluded automatically. When to send a reminder. The sweet spot is 48 to 72 hours before your RSVP deadline. Sending too early feels premature; sending after the deadline has passed defeats the purpose. One well-timed reminder typically converts 40 to 60 percent of outstanding non-responses. If you are still missing responses after the first reminder, check the "Not Viewed" filter. CSV Export
The CSV export button downloads your entire guest list as a spreadsheet file. Each row includes the guest's name, RSVP status, number of adults, number of kids, dietary restrictions, and any personal message they left. Common uses for the export: Sharing final headcounts with your venue or caterer. Giving a co-host access to the guest list without creating another JustInvite account. Frequently Asked Questions

Can I see who has not viewed their invitation yet?

Yes. The "Not Viewed" smart filter chip on your dashboard shows guests who have not opened the invitation link at all. This helps you distinguish between guests who saw the invitation and chose not to respond versus those who never received or opened it. If someone has not viewed the invitation, resending the link or using a different channel usually solves the problem.

What is the difference between pending and tentative?

Pending means the guest has not responded at all. Tentative means the guest actively chose "Maybe" when they responded. Pending guests may not have seen the invitation yet, while tentative guests have seen it and are undecided. You can send reminders to pending guests and follow up with tentative guests closer to the event date.

Can I export my guest list to a spreadsheet?

Yes. Your dashboard includes a CSV export button that downloads the full guest list with names, RSVP status, adult count, kid count, dietary restrictions, and personal messages. This is useful for sharing data with your caterer, venue, or co-host who does not have a JustInvite account.

How does the response rate percentage work?

The response rate shows the percentage of invited guests who have submitted any response — accepted, declined, or tentative. Pending guests are not counted as responses. For example, if you invited 40 people and 30 have responded (regardless of their answer), your response rate is 75 percent.

Can I send reminders only to guests who have not responded?
