Track kids and adults separately. Birthday parties often have different needs for each group. You might need 20 kids meals and 15 adult plates. The separate count lets you order catering, rent the right number of chairs, and prepare the correct number of party favors.
Collect dietary restrictions upfront. One in 13 children has a food allergy. Asking during the RSVP flow — not in a separate text three days before the party — means you actually get the information. Parents can note allergies, vegetarian preferences, or other needs right when they respond.
Set your RSVP deadline 5-7 days before the party. This gives you time to finalize the order with your venue, bakery, or caterer. Use
automated reminders to nudge parents who have not responded 48 hours before the deadline.
Use a QR code on school invitations. If your child is handing out printed invitations at school, include a QR code that links directly to the RSVP page. Parents scan it with their phone camera and respond immediately instead of losing a paper RSVP slip in a backpack.
